We invite you to carefully read the information below before completing your registration as the acceptance of these terms and conditions is necessary to validate your registration.

1. Registration, payment and cancellation policies

Upon submitting your registration, you will receive instructions for further procedure together with payment instructions.

The formal confirmation of your registration will be sent by e-mail after receipt of full payment.

 

Payment

Registration fee includes access to the Forum, plenary sessions, workshops, coffee breaks, lunch and drinks. Full payment will validate the registration process. Registrations submitted without payment will not be confirmed. All payment shall be made via bank transfer. Bank drafts, cheques and credit cards will not be accepted. No payment on the spot will be accepted. All payments should be made in Euros. Bank fees are the sole responsibility of the registrant and should be paid in addition to the registration fees.

The bank transfer must clearly state the name of the participant, as unidentified bank transfers cannot be processed. If payment is made for more than one person from the same organisation/company, please make sure that names of all participants are fully indicated.

Registered participants who are unable to attend the Forum may nominate (free of charge) a substitute participant from the same organisation by notifying the ZPS Secretariat. If a previous booking is cancelled and no substitute participant can be found, the following cancellation charges will be incurred:

  • Cancellation 31 calendar days or more before the event takes place: no charges
  • Cancellation between 14 calendar days and 31 calendar days before the event takes place: 50% of total price
  • Cancellation less than 14 calendar days before the event takes place: 100% of total price

2. Programme changes

In the case of cancellation, we will do our upmost to reimburse registration fees as soon as possible.

BEUC reserves the right to cancel or to reschedule location or time or to arrange a substitute speaker, moderator or rapporteur if this is absolutely necessary due to an unforeseen problem with the speaker, moderator or rapporteur, or other unforeseen reasons which are beyond control of the organisers.

In these cases, ZPS will not be held liable and will not compensate travel or accommodation costs, loss of working time, or other damages.

 

3. Filming and photographing

Please be aware that some of the sessions and events during the conference may be filmed and photographed.

4. Copyright

The content of this website includes text data and multimedia items such as texts, logos, icons, images and photos which are the exclusive property of ZPS, BEUC and TACD. 

Reproduction of textual data and multimedia items which are the property of ZPS or of third parties and for which ZPS holds the rights of use is authorised for non-commercial purposes only, provided that the entire item is reproduced and the source is acknowledged. 5. Disclaimer

ZPS reserves the right not to publish online any information submitted which is unlawful, harassing, defamatory, abusive, threatening, harmful, obscene, profane, sexually oriented, racially offensive or otherwise objectionable. 

If technical errors are brought to its attention, ZPS will take all possible steps to make any necessary corrections without delay.

 

Privacy Notice

ZPS attaches great importance to respecting the right to privacy and to the protection of personal data. ZPS will not collect or process any personal data related to visitors merely accessing information available on this website.

Please note that a session cookie is required to access this website. This cookie does not collect personal data or your IP address. The session cookie is temporary and is deleted at the end of the session (or automatically after 90 minutes or when shutting down the browser).

However, in order to register to the Forum, participants will be invited to supply some personal information, such as contact details (name and first name, e-mail address etc ). ZPS will collect personal information only to the extent necessary for the participation to the event. We will only retain these data until all our activities linked to the forum and its follow up have been completed. ZPS will under no circumstances disclose, exchange, rent or sell these data to any third party. In addition, please note that a temporary file is created in the temporary files of your browser when registering to the forum. It does not contain personal data and can be deleted by deleting your browser temporary files.

Please note that ZPS will make available the list of participants (name and organisation) on the restricted part of the website and in the Forum package distributed on the day of the event. ZPS will take all the appropriate technical and organisational measures to safeguard these data against accidental or unlawful destruction or accidental loss, alteration, unauthorised disclosure or access.
